Usage meter

Last updated: · 3 min read

What's tracked

Three dimensions:

  • Queries this cycle. Bot conversations counted.
  • Indexed content (MB). Storage used vs cap.
  • Team seats. Used vs cap.

Plus channel-level usage if relevant (WhatsApp messages, voice minutes).

Where to view

Dashboard > Usage Meter. Top-of-dashboard summary.

Dashboard > Analytics > Usage. Full historical breakdown.

Daily breakdown

Per metric:

  • Daily chart for the current cycle.
  • Trailing 30 days.
  • Comparison to previous cycle.

Useful for spotting unusual spikes early.

Quota approaching alerts

Automatic:

  • 80% used: Dashboard banner. Email to account owner.
  • 90% used: Stronger warning. Slack alert if configured.
  • 100% used: API returns HTTP 429. Dashboard shows blocking banner. Upgrade or wait for cycle reset.

Quota reset

Cycles run monthly aligned to your subscription start:

  • Signed up May 5: resets 5th of each month at midnight UTC.
  • No rollover. Unused quota expires.

For annual subscriptions, monthly quota still resets monthly within the annual period.

Per-workspace vs account-wide

For multi-workspace accounts:

  • Per-workspace usage tracked separately.
  • Account-wide quota is the sum.
  • Configurable per-workspace caps on Enterprise.

Drill-down

Click any metric to see:

  • Top queries by volume.
  • Top knowledge sources consuming MB.
  • Top channels by usage.

Useful for identifying optimization opportunities.

API access

Terminal window
curl https://api.askvault.co/v1/usage \
-H "Authorization: Bearer ak_xxx"

Returns current cycle's usage. Useful for embedding in your own dashboards.

Sample usage pattern

A typical Growth-tier customer mid-cycle:

  • Queries: 7,200 of 15,000 (48%).
  • Content: 28 MB of 40 (70%).
  • Team: 2 of 3 seats.
  • Days remaining: 14.

Projection: will hit 90% of queries; likely safe on storage and seats.

Optimization tips

If you're approaching quota:

  • Queries. Audit which channels drive most. Reduce off-topic by tightening welcome chips.
  • Content. Delete outdated sources. Or upgrade.
  • Team seats. Remove inactive members.

About 50 to 70% of teams use less than half their plan's quota; most users have headroom.

Limits

  • Metric refresh. Within 5 minutes.
  • Historical retention. 12 months.
  • API call limit. No throttle.

Common pitfalls

Forgotten quota. Set calendar reminder before cycle end.

Surprise spike. Bot used by non-customer scripts. Add rate-limiting to widget tokens.

Storage cap hit. Many old sources. Audit Knowledge Hub.
