Zapier integration

Last updated: · 3 min read

What this enables

Three patterns:

  1. AskVault as Zapier trigger. Lead captured fires a Zap that creates a Salesforce contact, sends a Slack ping, and adds to a Notion CRM.
  2. AskVault as Zapier action. Other apps trigger; Zapier calls AskVault to query knowledge.
  3. Hybrid flows. Multi-step Zaps incorporating bot intelligence.

About 9,000 connected apps in Zapier's catalog. AskVault can plug into any.

Availability

The Zapier integration is live:

  • Available on Starter and above.
  • Enable it from Deploy Hub > Zapier.
  • Connect at askvault.co/integrations/zapier or contact support for help.

Available triggers (today)

Events from AskVault to Zapier:

  • New lead captured.
  • Conversation escalated to human.
  • Knowledge gap detected.
  • Sentiment threshold crossed.
  • Demo booked.

Each trigger payload includes the conversation, contact, and metadata.

Available actions (today)

Things Zapier can do in AskVault:

  • Query the bot. Get an answer to a question.
  • Create a contact.
  • Apply a tag.
  • Send a webhook reply to an in-flight conversation.

Roadmap actions: upload a document, create a workspace, change skill config.

Sample Zaps

Lead-captured to CRM.

  • Trigger: AskVault lead.captured.
  • Action 1: Add to HubSpot Contacts.
  • Action 2: Send Slack message to #sales.
  • Action 3: Create Trello card on "New Leads".

Knowledge gap to TODO.

  • Trigger: AskVault knowledge.gap.
  • Action 1: Create Notion page in "Content Gaps" database.
  • Action 2: Assign to knowledge-team member.
  • Action 3: Send daily summary to #content team.

Escalation to PagerDuty.

  • Trigger: AskVault conversation.escalated with priority=urgent.
  • Action: Trigger PagerDuty incident.
  • Action 2: Page on-call.

Comparison to native integrations

Zapier vs native:

  • Zapier. Broad app coverage, slower (5 to 60 second delays), pay-per-task.
  • Native (HubSpot, Stripe, etc.). Real-time, free (within AskVault subscription), more reliable.

Use native where available; Zapier for the long tail of niche apps.

Cost

  • Zapier subscription. Free tier: 100 tasks/mo. Pro: $20/mo for 750 tasks.
  • AskVault subscription. Starter or higher.

For high-volume integrations, native or webhook-direct is cheaper.

Limits

  • Tasks per Zap per month. Zapier's plan limit applies.
  • Maximum concurrent Zaps. Zapier's plan limit.
  • Trigger event delay. 5 to 60 seconds.
  • Available triggers. 6 event types.
  • Setup time. About 15 minutes.

Planned features (on the roadmap)

  • Multi-step in-Zapier-app workflows for complex flows.
  • Identity-verified queries in actions.
  • Deeper Make.com module library.

Common pitfalls

Integration not enabled. Turn it on in Deploy Hub > Zapier.

Triggers don't fire. Webhook subscription not active. Check Deploy Hub > Zapier > Status.

Tasks consumed faster than expected. Each Zap step counts as a task. Optimize multi-step Zaps.
